Position Title: Operations Assistant

FLSA Status: Full-time, non-exempt

Reports To: Operations/Installations Manager

Location: Austin, TX

Pay: $19.00 - $20.00 an hour

Schedule: Tuesdays - Saturdays, 11:00 am - 8:00 pm

Position Summary: The Operations Assistant contributes to the company's overall success by performing activities to support the installation department by coordinating activities of sub-contractors engaged in installations to ensure customer satisfaction and compliance with company policies and procedures regarding installation services. This position will be responsible for the following duties and responsibilities:

  • Ensure installations are completed according to schedule.
  • Facilitate the loading out of materials to sub-contractors
  • Travel and inspect installations as necessary to ensure complete satisfaction.
  • Conduct monthly inspections of vehicles, machinery, and equipment to ensure they are in good working order, meeting safety standards, specific operational performance requirements, and optimum utilization
  • Oversee and/or perform warehouse cleanliness duties, including sweeping floors, arranging dumpster pickups, and ensuring the neatness of the parking lot.
  • Affix inventory tags to inventory items.
  • Operate forklift equipment, including pulling materials, making cuts, and loading and unloading materials
  • Handle challenges regarding installation by taking calls from sub-contractors, Sales Representatives, and Clients, and providing necessary assistance and solutions

Non-Essential Duties and Responsibilities:
  • Process orders as necessary to prepare for sub-contractors and/or the Operations department.
  • Maintain the printing of inventory tags.
  • Sell supplies to subcontractors.
  • Maintain regular communication with sub-contractors.
  • Ensure QA pictures are uploaded to TV monitor to be displayed during load out
  • Help with up keep of company vehicles
  • Stay current with industry trends, best practices, and safety compliance
  • Serve as a substitute for the Warehouse Representative Operations Assistant Admin duties when necessary.

Required Skills/Abilities:
  • Proficient communication skills: able to effectively communicate in both written and verbal form in both English and Spanish.
  • Strong reasoning/challenge-solving ability: able to analyze situations fully to arrive at accurate, logical, and appropriate resolutions; able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; able to deal with challenges involving several concrete variables in standardized situations
  • Detail-orientated; able to multitask and manage time effectively in a fast-paced environment
  • Adaptable and flexible
  • Able to work independently and in a collaborative team environment
  • Ability to quickly learn and maintain strong knowledge of the software, products, and services provided by the organization
  • Strong mathematical skills: able to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals
  • Strong working knowledge of Windows and Microsoft Office applications with the ability to learn new/internal software and effectively navigate through multiple computer systems simultaneously

Education/Experience:
  • Two (2) + years industry knowledge or related experience and training

Certifications, Licenses, Registrations:
  • Maintain a forklift certification
  • Have and maintain a valid driver's license

Supervisory Responsibility:
  • This position has no supervisory responsibilities.

Travel:
  • This position does not require any travel.

  • Strength: employee will frequently lift and move 1-49 lbs., and 50+ lbs. with use of buddy system or forklift
  • Movement: frequently required to stand, walk, stoop, kneel, crouch, or crawl, use hands to finger, handle and grip, feel, reach with hands and arms, and climb or balance, occasionally sits. manual dexterity
  • Audio: employee able to hear, understand, and distinguish speech and/or other sounds; able to express or exchange ideas, to impart oral information to clients or the public, and to convey detailed, accurate spoken instructions to other workers
  • Vision: position requires close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus

Work Environment: The work environment described here is representative of the environment an employee encounters while performing the essential functions of this job.
  • employee works in a warehouse setting and is frequently exposed to moving mechanical parts, outside weather conditions, extreme cold and extreme heat, and vibration. The employee is occasionally exposed to high, precarious places; toxic or caustic chemicals; and risk of electrical shock. This role routinely uses standard warehouse equipment such as forklifts, box cutters, cutting machine.
